Find a Venue.
You need to figure out how many people are going to come to your event. Then you will have to find a place that is large enough to accommodate everyone with extra space for whatever you will do. For instance for a dinner you will need extra space for tables and chairs maybe even a dance area. Or if you are holding a conference you will need the space for a stage and then the additional seats that will be needed. I will use a Conference as an example for the rest of the article. Or any other event that will hold a large number of people in one place. Or a small number if that’s what you want.
Get An Estimate
When you have found the venue that you want keep several like it around as options. Then contact the office of the place and tell them what you want and how. They will give you a rough estimate of what it will cost. Then you can either rent the audio and visual equipment yourself or the company may be willing to rent them out to you for a small fee or price.
Remember you always will want to choose the venue that has the most bang for your buck.
Setting up the place
What I mean by this is the décor of the venue. You will probably have to pay for most of this out of your pocket. The venue may have a few things for decoration like chair covers and things like that. However they will not have the more specific things that you may need. For big posters and the like you will probably have to call some sort of printing company in your area that will print the images out in a large fashion. For specialty light and sound equipment you will need to call an event production company in your area that will be able to provide you with everything that you will need in this category. Maybe you chose a huge venue like a stadium and you want to rent a giant LED screen to show everyone what you are doing. Again you would have you contact some sort of event Production Company in order to fulfill this request.
